Governments worldwide have passed strict data-protection laws (Europe’s GDPR, India’s new DPDP Act 2023, etc.), with regulators hitting violators with huge fines. For example, a European regulator fined a ride‑sharing app about €290 million for mishandling driver data, and a social‑media platform was fined €1.2 billion under GDPR. India’s new DPDP Act likewise threatens penalties up to ₹250 crore (roughly $30M) for lax security. These examples show that even small or mid‑sized organizations can face major consequences if they ignore privacy. Only collect and store what you absolutely need. At the very start of a project, decide which user fields are truly necessary. This limits risk: even if data is breached, less sensitive information is exposed. Government rules like GDPR and India’s DPDP explicitly require data minimization and privacy-by-design. This means that:
Keep data on your servers. Whenever possible, we design tools so your sensitive data lives in your own database or storage. We only pull the data we need when an authorized user is working, so most personal data stays in your infrastructure. This way, even if our service had an issue, your data isn’t affected.
Store only minimal metadata. On our side, we keep only account basics (like login name, email, hashed password) and non-sensitive metadata (e.g. “form submitted” or “campaign updated” events, without the actual data content). We never log entire form answers or personal details in notification logs. This approach follows the data minimization principle – collecting just what’s needed, nothing extra.
Delete data when it’s no longer needed. We implement data retention policies so that personal data isn’t kept forever. If a user withdraws consent or a campaign ends, we help clients purge the unneeded records. Regular deletion of stale data is a simple way to reduce exposure.

As Microsoft mentions, data encryption at rest is mandatory for privacy and compliance. So for example, we make sure sensitive payment flows are handled by PCI‑compliant providers (like Razorpay or Stripe). Our system only receives signed webhooks from them and then stores the minimal payment info needed for reporting. This reduces our exposure, because all actual card data and payments processing stay with the specialist provider. Incoming webhooks are authenticated (via HMAC/shared secrets) so that illegitimate requests are rejected and logged.
Notifications are helpful, but they must not leak personal data.
We design all alerts (email, SMS, or chat apps like Telegram) to be non-PII-first. For instance, when someone submits a form on your site or makes a donation, our system sends a brief message like

Crucially, the actual user’s answers or personal details are not included. The message just says what happened (and maybe an internal ID) and points to the secure dashboard where authorized staff can log in to see the full details.
This way, if you share a notification channel (say a Telegram group with volunteers or vendors), outsiders only know that something happened, not the content of the data. The sensitive information stays behind the protected login. Each organization can configure its own private channel for alerts. In sum, we never dump users’ private answers into open chat channels – we assume any external notification could be seen by people who shouldn’t see the data.
Forms and uploads are common privacy pitfalls, so we treat them carefully. Every form you build has a clear schema: each field has a type (text, email, date, etc.), size limits, and a flag for “required” or not. User input is validated server-side against these rules. Invalid or malicious inputs are rejected with user-friendly errors, rather than being stored blindly. This prevents SQL injection, XSS, or other malicious payloads, and also prevents accidental over-collection of data.
For file uploads (resumes, documents, images, etc.), we enforce allowed file types (for example, only PDFs or images) and size limits. Files are uploaded straight to your org's secure bucket (with a pre-signed URL), not even the server can see it, neither it is emailed nor attached to logs. This ensures sensitive documents aren’t floating around anywhere. Only permitted files get stored, and only people with proper access can retrieve them. We also log only minimal context (like a source IP or browser info) for each submission – just enough to detect abuse or spam, but not enough to profile users. This minimal logging is for security, not for invasive tracking.
Transparent communication builds trust. We always write a privacy policy (or help our clients write theirs) that honestly matches what the system does. This means explaining in plain language to the customers what data stays in your database, that you don’t sell or share it, and that you keep only basic logs without user content. We spell out that all credentials are encrypted, and that any third-party integrations (payment, messaging, etc.) are under your control. A clear privacy policy not only reassures users but also helps meet legal notice requirements.
